Overview
AppyTax is HMRC-recognised Making Tax Digital software for UK sole traders. We take the privacy and security of your personal and financial data seriously. This policy explains what we collect, why we collect it, and the controls you have.
Data we collect
- • Account details — name, email address, and business information you provide on sign-up.
- • Business records — the income, expenses, and supporting information you log to meet MTD obligations.
- • HMRC connection data — information exchanged with HMRC when you submit quarterly updates or a final declaration.
- • Usage data — how you interact with the app, used to improve the product and provide support.
How we use your data
- • To provide the AppyTax service and fulfil your MTD filing obligations.
- • To communicate with you about your account, deadlines, and regulatory changes.
- • To maintain records for the period required by HMRC.
- • To improve and secure our service.
Data sharing
We share your data with HMRC only as necessary to make submissions on your behalf. We do not sell your data. We may share limited information with trusted service providers who process data on our behalf under strict contractual safeguards (for example, cloud hosting providers). We only share data where required by law.
Data security
Your data is encrypted in transit and at rest, and held on UK-based servers. We apply HMRC-grade security standards, restrict internal access on a need-to-know basis, and regularly review our controls.
Data retention
We retain your records for at least five years after the 31 January deadline of the relevant tax year, to meet HMRC requirements. After that period, we will securely delete your data unless we are required to retain it for legal reasons.
Your rights
Under UK GDPR you have rights including access to your data, correction, deletion in certain circumstances, and the right to lodge a complaint with the ICO. To exercise any of these rights, contact us at privacy@appytax.co.uk.
